Move-in week is chaos: a thousand families converging on Gainesville at the same time, dorm assignments shifting, mattress trucks blocking parking lots, and somewhere in the middle of all of it, a car that needs to make it from your driveway to a 32607 zip code. That’s the part we handle — cleanly, on time, and with the parent-and-student coordination figured out so you can focus on the actual move.
August move-in is the highest-demand window of the year because every Florida school moves in the same week. Northeast and Midwest pickups going to UF housing typically book 3–4 weeks ahead. Lock yours in by mid-July to keep options open.
We get this question more than any other: how early is too early, how late is too late? Here’s the realistic timeline working backward from UF’s third-week-of-August move-in date.
Locked-in rates before peak demand kicks in. June bookings see the most flexible pickup windows and the lowest prices of the season. Ideal for families finalizing housing assignments early.
Where most of our customers land. Mid-to-late July booking. Strong carrier capacity, your preferred pickup day usually still available, pricing still reasonable before the final-week spike.
Still doable. Pickup windows narrow to 2–5 days, pricing runs 10–15% higher. Common for families who got off-campus housing late or had a transfer come through last-minute.
Last-minute is still possible but we need to scramble. Best path is the phone, not the form. We can usually find capacity within 2–3 days of pickup, even during peak week.
Almost every move-in booking involves coordinating between parents and students. Here’s how the three most common arrangements work — we handle all three the same way.
Most common arrangement. Student is already in Gainesville for orientation, sorority recruitment, or early move-in. Parents stay home and hand the keys to the driver.
Student rides with the family for the first leg of the move. Car ships separately to meet them when parents head home. Frees up the family vehicle for the dorm-supplies haul.
Less common for freshmen, more common for transfers and returners. Student flies down ahead of the car or drops off and Ubers to airport. Same person signs both ends.
75-foot car carriers are big trucks. Some Gainesville areas allow direct door-to-door delivery; others require a meet-up at a nearby parking lot or shopping center. Here’s how the city breaks down by delivery zone.
Most apartment complexes in Midtown, Sorority Row, Archer Road, Newberry Road, and SW 34th Street allow direct delivery. Driver pulls into the leasing office lot or parking entrance.
Single-family rentals in the Duck Pond, College Park, and Haile Plantation areas typically allow direct delivery. We coordinate with the landlord or property manager if needed.
Beaty Towers, Jennings, Yulee, and the Hub area dorms aren’t accessible to 75-foot carriers. We meet at a nearby spot — usually the Reitz Union lot, Butler Plaza, or a shopping center within walking distance.
Greek-row street parking is too tight for full carriers, especially during recruitment week. We coordinate a meet-up at a Midtown parking garage or the SW 13th Street lots within walking distance.
Communities like Tioga, Town of Tioga, and Haile Plantation often have height or length restrictions. Driver typically meets outside the gate — we coordinate the exact spot before pickup.
The booking sweet spot. UF housing assignments are finalized, family travel plans are locked in, and pricing hasn’t spiked yet.
Peak week. Thousands of vehicles arriving in Gainesville simultaneously. Demand spikes 15–20% across all major routes.
Transfer students, late housing assignments, and out-of-state families stretching the timeline. Capacity loosens but pricing stays elevated.
Six things to handle before the carrier shows up. None of them are complicated, but missing any one of them can delay pickup by a day or two during a week when you don’t have a day or two to spare.
Carriers prefer low fuel for weight reasons. Top-off at the destination, not before pickup.
Cargo insurance covers the vehicle, not contents. The trunk can hold up to 100 lbs of soft items but the passenger cabin should be empty.
Aftermarket alarms can trigger during loading. Either disable it before pickup or share the disarm sequence with the driver.
Front, rear, both sides. Timestamp matters. This is your insurance baseline for the bill of lading inspection at delivery.
Whoever signs the bill of lading at delivery needs to be 18+, available during the delivery window, and have the driver’s phone number.
The driver gets the working key. Keep the spare with whoever’s receiving the car in Gainesville — just in case.
The questions we hear most during move-in season. Don’t see yours? Call or text (352) 519-4421.
Book 3 to 4 weeks before move-in week. August is the highest-demand window of the year because every Florida school moves in around the same time. Booking early locks in better rates and your preferred pickup day. Last-minute bookings within 7 days are still possible but may run 10–15% higher with less flexible pickup windows.
We deliver as close to campus as our 75-foot carriers can safely access. For on-campus dorms like Beaty Towers, Jennings, or Yulee, we typically meet at a nearby parking lot or shopping center within walking distance. Off-campus apartments in Midtown, Sorority Row, Archer Road, and Newberry Road usually allow direct delivery.
Yes, parent-handoff is one of the most common arrangements we coordinate. Parents can hand off the vehicle at the home address while the student receives it in Gainesville, or vice versa. We just need someone 18+ to sign the bill of lading on each end. Both parties get the driver’s name and direct phone number before pickup.
We adjust pickup and delivery windows for free as long as we have at least 48 hours notice before the original pickup. UF housing assignments shift, room swaps happen, family schedules change — we work around it. Just call or email us with the new date and we’ll redispatch.
Yes. Reverse coordination for May graduation, summer break, study abroad, and end-of-year apartment moves works the same way. May graduation week is our second-busiest window of the year — book 2–3 weeks ahead to lock in pickup before the apartment lease ends.
